2.  Full Management Service:

a.   Finding a suitable Tenant through contact with a large number of companies, advertising locally and nationally.  Your apartment will be included in our regular property list which is promoted, circulated and advertised daily on our iomapartments.com web site.

b.   We will arrange accompanied viewings for your apartment

c.   Appropriate references will be obtained

d.   We will collect the first months rent for you

e.   We will prepare the Tenancy Agreement

f.   We will draw up an Inventory of your apartment - a mutual Landlord/Tenant safeguard

g.   The Inventory will include a photographic inventory of the condition of the apartment, including main fixtures and fittings, as well as walls, floors and ceilings

h.   Meter readings at the start and end of the Tenancy - to ensure a smooth transition for utility accounts

i.   Tenant Check in and Check out at start/end of Tenancy

j.   Monthly Rent Collection - direct to your bank account.

k.   We will carry out a routine inspection of your property

l.   Submission of accounts to you

 

Maintenance & Repairs:

a.   The Agent will agree with the Client a nominal fee for repairs on the property up to and including £>100, or as otherwise agreed in the Terms of Engagement. This is the limit of expenditure to which we will authorise and make payments on your behalf, without reference to you. The purpose of this is to ensure that repair items of a minor nature are dealt with swiftly. 

b.   The Agent will liaise with the client or his nominated contractors to carry out repairs and maintenance. The agent will oversee necessary repairs (but not to the extent of performing architectural or engineering services).

c.   Where practicable, estimates will be obtained and the Client's approval sought for works, renewal or redecoration.

d.   In the case of an emergency, the Client consents to the Agent instructing contractors to carry out emergency work necessary to repair and protect the Client's property, without prior consultation.

At the end of the Tenancy Period:

All tenants will be contacted approximately 1 month prior to the end of their tenancy period and asked if they would like to renew their lease. If they wish to renew their lease, and you are agreeable to this, a new lease will be issued to them for signature.

 

When the Tenant vacates the property:

a.   The inventory is checked with the tenant

b.   Any damage to the property or items missing from the inventory is recorded and an appropriate amount deducted from the deposit held by us, which will be credited to your account and the balance refunded to the Tenant.

c.   Please note a reasonable amount must be allowed for over the course of a tenancy for fair wear and tear of the property and contents.

Rental Rate:

The rental rate will be agreed with you prior to marketing your apartment. Unless specifically agreed otherwise with you this will include all payments for which you are responsible: including rates, water rates, ground rents and management fees etc.

 

Deposits:

An amount equivalent to one month's rent will be required to be paid by the tenant with the first month's rent, prior to the tenant moving in.

 

Full Management - the deposits are held by us in a Client Deposit Account until the Tenancy is terminated, and then will be returned to the Tenant, less any cost of missing or damaged items.

 

Void Periods:

Our management of your apartments commences when the Tenant has taken up occupancy.

 

Insurance:

Please make sure your property and contents are adequately insured and that your policy covers lettings, whether furnished or unfurnished.

 

Solicitors/Legal:

The rental agreement is between the Landlord and the Tenant. Should any rent arrears occur, or there is any breach of the lease, this will be brought to your attention. We will do our utmost to help you, but we cannot be held responsible if the tenant fails to pay the rent or does not comply with the agreement.

 

Presentation of your Apartment:

In order to maximise the rental of your apartment and minimise voids, it is strongly advised that you maintain and decorate the property to a high standard at all times.

 

      Signature:

A Client's signature on the Agency Agreement Statement is recognition and acceptance of the conditions contained herein.  Unless notified in writing the Client agrees that the Agent will sign the Tenancy Agreement on the Client's behalf as your Agent.

 

Check List for You:

a.   You will be the Landlord not the Agent

b.   You should obtain the permission of your Building Society

c.   You will be responsible for the cost of all repairs

d.   You will be responsible for all insurances

e.   You will be responsible for ground rent

f.   The apartment needs to be decorated and maintained in a clean and presentable manner - you are responsible for this.

g.   Furniture must be clean and presentable

h.   All carpets/floor coverings should be left clean

i.   Operating Instructions should be provided for all equipment

j.   Electricity/Gas meter readings will be taken from the property prior to the tenant moving in.

k.   You are responsible for maintaining all appliances in a satisfactory manner to protect yourself and to ensure a safe living environment for your Tenant.
